Terms of Service

1. About these terms

These Terms form a binding agreement between you and Jake Casey, who operates the GrantDocs service (“we”, “us”, “our”). By creating an account or using GrantDocs, you accept these Terms.

2. The service

GrantDocs is a software tool that helps Irish solar PV installers prepare and manage SEAI grant paperwork (Declaration of Works, Inspection & Test Report, Completion Checklist, NC6 and supporting documents) by automating the form-filling process from data you enter.

We do not advise on grant eligibility or installation correctness. Generated documents reflect the data you provide; you remain solely responsible for the accuracy, completeness and compliance of those documents with SEAI and ESB Networks requirements.

3. Eligibility & account

You confirm that:

• You are at least 18 years old.
• You operate a registered solar installation business or are a professionally certified installer (e.g. Safe Electric registered).
• You will provide accurate account information and keep it up to date.
• You are responsible for keeping your password secure and for all activity under your account.

4. Your responsibilities

4.1 Homeowner data

When you create a job, you submit personal data about your customers. You are the data controller for that data; we are the processor. You confirm that:

• You have a lawful basis (under GDPR Art. 6) to provide each homeowner’s data to us — typically performance of contract or legitimate interest in completing the works.
• You have informed each homeowner that their data is being processed using a third-party tool, and how to exercise their data rights.
• You will keep the data accurate and notify us of corrections or deletion requests.

4.2 Document accuracy

Our generators produce documents from the data you enter. You must review every generated document before signing or submitting it to SEAI or ESB Networks. We cannot accept liability for grant rejections, fines or losses arising from inaccurate input or your failure to review output.

4.3 Authorisation for homeowner signatures

You will not generate or submit any document bearing a homeowner’s signature unless you have received an electronically signed authorisation through our homeowner declaration flow, or an equivalent legally valid signature from that homeowner.

5. Credits, payments & refunds

5.1 Credit packs

Access to document generation is paid via prepaid credit packs purchased through Stripe. Each first-time generation of documents on a job consumes 1 credit; regenerations on the same job are free.

5.2 Refunds

Credits are refunded automatically if a generation fails entirely. Otherwise credits are non-refundable except where required by law — under Irish consumer protection law you have a 14-day cooling-off right from purchase, provided the credits have not yet been used.

5.3 Pricing

Pack prices are shown at checkout. We may change pricing for future purchases at any time; any change is not retroactive.

6. Acceptable use

You will not:

• Submit data you have no right to submit.
• Use GrantDocs for any unlawful purpose.
• Attempt to reverse engineer, scrape or interfere with the service.
• Resell, sublicense or share access to your account.
• Submit malicious files (e.g. infected datasheets).
• Use the service to harass, defraud or impersonate any person.

We may suspend or terminate accounts that breach these rules.

7. Intellectual property

We own the GrantDocs software, brand and the templates we have created. You own the data and documents you generate using your inputs. By uploading product datasheets or other content, you grant us a non-exclusive licence to process that content solely for the purpose of providing the service to you.

The SEAI templates we fill are SEAI’s intellectual property; we use them only to enable installer compliance with their grant scheme.

8. Disclaimer

The service is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to fitness for a particular purpose, merchantability, or non-infringement.

We do not warrant that the service will be uninterrupted, error-free, or that generated documents will be accepted by SEAI or ESB Networks. SEAI’s published forms, requirements and processes change from time to time; we do our best to keep templates current but cannot guarantee they reflect the latest version on any given day.

9. Limitation of liability

To the fullest extent permitted by Irish law:

• We are not liable for grant rejections, refused applications, lost profits, lost installer time, regulatory fines, or any indirect, consequential, special or punitive damages arising from your use of the service.
• Our total aggregate liability for any and all claims arising from your use of GrantDocs is capped at the amount you have paid us in the 12 months immediately preceding the event giving rise to the claim.
• Nothing in these Terms limits liability that cannot be limited under Irish law (e.g. for fraud, gross negligence, or death or personal injury caused by negligence).

10. Termination

You may close your account at any time by emailing info@grantdocs.ie. We may suspend or terminate your account immediately for breach of these Terms or non-payment.

On termination:

• You may export your data within 30 days; after that it will be deleted (subject to records we are legally required to keep).
• Pre-paid unused credits older than 12 months are forfeit; younger credits will be refunded pro-rata.

11. Governing law

These Terms are governed by the laws of Ireland. The courts of Ireland have exclusive jurisdiction over any dispute arising under them.

12. Changes

We may update these Terms. Material changes will be notified by email at least 14 days before taking effect. Continued use of the service after that constitutes acceptance.
